Project Coordinator // Creative Team

We’re a fun and interesting creative team that is looking for a passionate and motivated project coordinator. Our group handles a variety of different types of creative work (branding, illustration, video) and we want you to be completely immersed in your projects on all levels. You’ll report directly to the Senior Producer, and we expect you to have command and control over budgets, schedules, resources, client communications, outside vendors, staff artists and designers, and all other details related to timely and fiscally responsible completion of each project.

 

 

Responsibilities

 

  • Establishing and maintaining a leadership role in all client relations and project management for assigned accounts
  • Regular, pro-active client communications and account management
  • Generating estimates and billing all projects upon completion
  • Creating and maintaining job folders on server
  • Downloading, managing and coordinating all project/program intake assets
  • Leading and coordinating studio workflow for all assigned accounts
  • Managing and updating workflow tool (currently Basecamp) with project schedules, milestones, key information PLUS project close-outs, billing and reporting
  • Reviewing all project deliverables and coordinating workgroup reviews and internal approvals prior to sending for client approvals
  • Reviewing and reconciling team hours and conducting cost analysis for each project
  • Creating and managing project calendars to ensure projects are completed on time and on budget
  • Scheduling regular meetings with Senior Producer to review status reports
  • Weekly meetings with staff to review current and future projects
  • Determine production schedule by conferring with heads of art, copy writing, and production departments; outlining basic presentation concepts; coordinating creative activities

 

Requirements

 

  • Past Experience working within a creative team & solid understanding of processes
  • Proven working experience as a project administrator
  • Excellent client-facing and internal communication skills
  • Excellent written and verbal communication skills
  • Solid organizational skills including attention to detail and multi-tasking skills
  • Strong working knowledge of Microsoft Office
  • Great educational background, preferably BA in the fields of creative services or project management
  • One great big sense of humor
